Supplier Code of Conduct
1. Introduction
Biodeb Group Ltd has been operating since 1994 as a manufacturer and supplier of wigs, human and synthetic hair, skin care products, cosmetics, and associated accessories. We operate our own manufacturing plants for organic skin care in the United Kingdom and partner with contract manufacturers in the United Kingdom and the United States of America. Our products reach customers in the United Kingdom, the European Union, Africa, and other global markets through our distributorship network and online platforms. We also work with several professional hairdressing salon and beauty spa having sold our own previously salon to focus on own brand.
Our group includes two trading entities. Radiant Glow Botanicals is our consumer facing brand, originally established in 1994 and merged with Biodeb Group Ltd in 2013, specialising in organic skin care, wigs, hair products, and accessories. Biodeb Consulting Ltd is our advisory and technical consultancy arm, providing expert guidance on organic skin care formulation, manufacturing processes, hair pieces, wigs, and accessories, drawing on the scientific expertise of our director.
Our director is a scientist with specialist expertise in organic skin care formulation and manufacturing, including hair pieces, wigs, and accessories, and is a recognised speaker in the field.
We are committed to conducting our business ethically and responsibly. This Supplier Code of Conduct (the Code) sets out the minimum standards we expect from all our contract manufacturers, suppliers, distributors, and partners.
2. Scope and Application
This Code applies to all entities that supply goods or services to Biodeb Group Ltd, including all contract manufacturers, raw material suppliers, distributors, logistics providers, and any subcontractors engaged by our suppliers. All suppliers must ensure that their own supply chains comply with the standards set out in this Code.
This Code applies equally to all trading entities within Biodeb Group Ltd, including Radiant Glow Botanicals and Biodeb Consulting Ltd.
3. Modern Slavery and Human Trafficking
Biodeb Group Ltd maintains a zero-tolerance approach to modern slavery, forced labour, human trafficking, and exploitation in all its forms.
Suppliers must not engage in or benefit from any form of forced, bonded, or compulsory labour. All work must be voluntary, and workers must be free to terminate their employment with reasonable notice.
No worker shall be required to pay recruitment fees, deposits, or any other costs associated with obtaining employment. Original identification documents or passports shall not be withheld from any worker.
Suppliers shall comply with all applicable laws and regulations regarding modern slavery and human trafficking and shall cooperate fully with any reasonable requests from Biodeb Group Ltd to demonstrate compliance.
4. Child Labour
Suppliers shall not employ any person below the minimum legal working age as defined by the laws of the country in which the work is performed. In all cases, the minimum age shall not be less than fifteen years of age, or fourteen years where the country's law permits such exception under International Labour Organisation standards.
Suppliers shall comply with all applicable laws regarding the employment of young workers, including restrictions on working hours, night work, and hazardous activities. Young workers shall not be engaged in any work that is likely to harm their health, safety, or development.
5. Working Hours and Wages
Suppliers shall comply with all applicable laws and regulations regarding working hours, rest breaks, and overtime. Regular working hours shall not exceed the maximum set by local law, and overtime shall be limited to a reasonable level.
Workers shall be paid at least the minimum wage required by local law or the prevailing industry wage, whichever is higher. Overtime must be voluntary and compensated at the legally required premium rate.
Wages shall be paid regularly and in full, directly to workers in a timely manner. Workers shall receive clear and understandable payslips detailing their earnings, deductions, and any other relevant information.
Deductions from wages shall only be made under the terms and conditions permitted by local law and shall not be made for disciplinary purposes without express permission from the worker and local legal authorisation.
6. Health and Safety
Suppliers shall provide a safe, clean, and healthy working environment for all workers. This includes adequate lighting, ventilation, sanitation facilities, and access to clean drinking water.
Suppliers shall take appropriate measures to prevent accidents and injuries, including providing necessary personal protective equipment and safety training. Emergency exits shall be clearly marked and unobstructed, and fire safety equipment shall be maintained in good working order.
Workers shall receive regular health and safety training appropriate to their roles. Suppliers shall maintain records of all workplace accidents and take corrective action to prevent recurrence.
7. Non‑Discrimination
Suppliers shall not discriminate against any worker on the grounds of race, colour, ethnicity, national origin, religion, gender, sexual orientation, age, disability, marital status, pregnancy, political opinion, or any other status protected by applicable law.
All employment decisions, including recruitment, training, promotion, compensation, and termination, shall be based on merit and capability.
Harassment, intimidation, or any form of verbal, physical, or sexual abuse is strictly prohibited. Suppliers shall maintain a grievance mechanism that allows workers to raise concerns without fear of retaliation.
8. Freedom of Association and Collective Bargaining
Suppliers shall respect the right of all workers to form and join trade unions of their choosing and to bargain collectively without fear of retaliation. Workers shall be free to exercise these rights in accordance with applicable laws.
Where the right to freedom of association is restricted by law, suppliers shall not hinder alternative forms of independent worker representation. Suppliers shall not discriminate against or harass workers who exercise their rights to freedom of association.
9. Ethical Business Practices
Suppliers shall conduct their business with integrity and transparency. Bribery, corruption, extortion, and fraud are strictly prohibited.
Suppliers shall not offer or accept any improper payments, gifts, or favours to or from any government official, customer, or third party to obtain an unfair business advantage. Accurate records of all business transactions must be maintained.
Suppliers shall comply with all applicable anti-corruption laws, including the UK Bribery Act 2010 and the US Foreign Corrupt Practices Act where relevant.
10. Environmental Responsibility
Suppliers shall comply with all applicable environmental laws and regulations. We encourage suppliers to minimise waste, reduce energy and water consumption, and use sustainable materials wherever possible.
As an advocate of organic and natural ingredients, Biodeb Group Ltd gives preference to suppliers who demonstrate environmental responsibility, including the use of sustainable raw materials, reduced packaging, and responsible waste management practices.
Suppliers shall maintain all required environmental permits and licences and shall report any environmental incidents or non-compliance to Biodeb Group Ltd promptly.
11. Subcontracting
Suppliers shall not subcontract any part of the work covered by this Code without prior written approval from Biodeb Group Ltd.
Any approved subcontractor must agree in writing to comply with this Code in full. The primary supplier remains fully responsible for the compliance of all subcontractors and for any breach of this Code by a subcontractor.
12. Monitoring and Compliance
Biodeb Group Ltd reserves the right to verify compliance with this Code through announced or unannounced audits, which may include document reviews, worker interviews conducted in private, and site inspections.
These audits may be conducted by our own staff or by an independent third party appointed by Biodeb Group Ltd. Suppliers shall provide full access to their facilities, records, and workers for this purpose.
Suppliers shall maintain all records necessary to demonstrate compliance with this Code for a minimum of three years and shall make these records available to Biodeb Group Ltd or its nominated representatives upon request.
13. Reporting Concerns
Suppliers shall immediately report any known or suspected violation of this Code to Biodeb Group Ltd.
Workers and other stakeholders may report concerns confidentially and without fear of retaliation by contacting Biodeb Group Ltd directly. All reports will be taken seriously and investigated promptly.
Whistleblowers shall be protected from any form of retaliation, including dismissal, demotion, suspension, harassment, or any other form of discrimination.
14. Consequences of Non‑Compliance
Failure to comply with this Code may result in corrective action plans, suspension of orders, or termination of the supplier relationship.
Serious or repeated violations, including any confirmed instance of modern slavery, child labour, or forced labour, will result in immediate termination of the supplier relationship and may be reported to the relevant authorities.
Suppliers in breach of this Code may be required to remedy the breach at their own cost, including providing compensation to affected workers where appropriate.
15. Acknowledgement and Flow‑Down
All suppliers must sign and return a copy of this Code to confirm their understanding and agreement to comply.
Suppliers must also flow down the requirements of this Code to their own supply chains, including any subcontractors, and must take reasonable steps to ensure that their own suppliers comply with equivalent standards.
Suppliers shall maintain records of all such flow-down agreements and shall make these records available to Biodeb Group Ltd upon request.
